AI Transparency Notice
How Aktok uses artificial intelligence, handles your data, and your rights.

Aktok Inc, a corporation incorporated under the laws of Prince Edward Island, Canada ("Aktok," "we," "us," or "our"), is committed to the responsible and transparent use of artificial intelligence. This notice explains how we use AI across the Aktok platform, how we handle your data in relation to AI, and what rights you have.
This notice is provided in compliance with the European Union Artificial Intelligence Act (EU AI Act).
1. How We Use AI
AI is embedded throughout the Aktok platform. We use artificial intelligence and machine learning to power features across the product, including but not limited to:
- Communication — AI agents that converse with website visitors, classify messages, and route conversations to the right team members
- Analysis and scoring — predictive models that score leads, evaluate deal health, and surface engagement patterns
- Content and creation — generating, summarizing, translating, or enhancing text, images, and other media
- Data processing — extracting, enriching, organizing, and classifying information from various sources
- Automation — triggering workflows, creating tasks, sending notifications, and executing actions based on AI-evaluated conditions
- Search and retrieval — semantic search, knowledge base queries, and intelligent recommendations
This list reflects current and anticipated uses. As the platform evolves, we may apply AI to additional areas. The commitments in this notice apply to all AI features, present and future.
2. How You Know It's AI
When you interact with an AI system — such as a chatbot on a website powered by Aktok — the interface clearly identifies it as AI through visible labeling and distinct visual cues. You will always know when you are communicating with AI rather than a human.
AI-generated or AI-assisted content within the platform is identified as such where the distinction is meaningful to your decisions.
3. Your Data and AI
Your data powers your AI, not ours
We do not use your data to train, fine-tune, or improve Aktok's general AI models. Your data is processed to serve your workspace only.
Where AI models are trained on your workspace data — for example, to improve predictions specific to your business — those models serve only your workspace, are isolated from all other workspaces, and are deleted when your account is terminated.
Third-party AI providers
Some AI features rely on third-party providers. All providers we use are contractually prohibited from using your data to train their own models. Your data is processed to generate a response and is not retained beyond standard API processing.

Enrichment
When you use enrichment features, we use identifiers you provide — such as an email address or company name — to look up publicly available information. Results from public sources may be cached to improve the service for all customers. Your lookup activity is never shared with other workspaces.
What AI does not access
AI features in Aktok do not access your payment information, passwords, or authentication credentials. Data from other workspaces is never accessible — tenant isolation is enforced at every layer.
4. Human Oversight
AI assists. Humans decide. Every AI feature in Aktok is advisory. AI outputs — scores, suggestions, generated content, automated actions — are tools for your team, not autonomous decisions.
You control what AI can do. Workspace administrators can enable, disable, and configure AI features, including which data sources AI can access and what actions automation can take.
Escalation to humans. AI systems that interact with people — such as chatbot agents — are designed to hand off to a human team member when they cannot confidently address a question, when someone requests a human, or when your configured escalation rules are triggered.
No autonomous high-impact decisions. Aktok does not use AI to autonomously make decisions that would be classified as high-risk under the EU AI Act — such as employment, creditworthiness, or access to essential services. AI outputs are recommendations for human review.
5. Your Rights
Right to know. You will always be informed when you are interacting with AI.
Right to human review. You may request that a human review any AI-assisted decision or recommendation that affects you.
Right to opt out. Workspace administrators can disable AI features. Visitors interacting with AI chatbots can disengage and use alternative contact methods provided by the business.
Right to explanation. You may request an explanation of how an AI-influenced outcome was determined.

6. Accuracy of AI Outputs
AI outputs — including responses, scores, generated content, and classifications — are produced by machine learning models that may be inaccurate, incomplete, or biased. They are not professional advice and are not a substitute for human judgment. You are responsible for reviewing AI-generated content before acting on it.
7. EU AI Act Compliance
All AI features in Aktok are classified as Limited Risk or Minimal Risk under the EU AI Act. We do not operate any High-Risk or Unacceptable-Risk AI systems.
For Limited-Risk features — primarily those where users interact directly with AI — we meet the Act's transparency obligations through clear labeling and this notice.
Aktok does not use AI for any practice prohibited under the EU AI Act, including subliminal manipulation, exploitation of vulnerabilities, social scoring, biometric identification, emotion recognition in workplace or educational settings, or real-time remote biometric identification in public spaces.
8. Changes
We may update AI features, models, and providers as the technology evolves. The commitments in this notice — how we handle your data, human oversight, your rights, and our approach to transparency — apply regardless of the specific technology behind them.
When changes materially affect your experience with AI in Aktok, we will update this notice and notify workspace administrators through the platform.
